Draw Settings

A number of competition meeting settings Tools -> Setup -> Meeting Settings affect the draw operation. Set these before attempting to draw events.

  • Lane Count - the number of lanes to include in the draw/timetable. Default is 2 but up to 6 lanes are currently supported.

  • Lane Names - each lane can be given a custom name to match local naming conventions. Note that some reports abbreviate the lane to its underlying number between 1 and 6.

  • Regatta Draw Method - Determines how the crews are placed in the draw slots. Four options are supported:

    • Club Weighted where crews are placed randomly but where two crews from the same club are present then they will be drawn in opposite halves of the draw;

    • Priority Seeded where crews are placed in the draw in decreasing CRI order each subsequent crew being placed in different branches of the draw to increase the likelihood that higher pointed crews will meet in the final;

    • Priority Club Seeded where crews are placed in decreasing CRI order but with two crews from the same club being likely to be in separate parts of the draw;

    • Totally Random where crews are placed in the draw randomly.

  • Race Scheduling Strategy - how races within the same round are intended to be timetabled. Group Siblings signals that all races in a round should be timetabled sequentially. Flexible signals that races in a round may be timetabled at optimal values for that race.

Full Draw

All events can be drawn in a single operating applying the selected Regatta Draw Method to each event with the specified number of lanes in the draw. Use the Tools -> Administration Operations -> Regatta Draw -> Draw All Events screen to perform the draw. Check the Confirm box and then press the Draw button to effect the draw.

Once performed all the drawn events can be inspected via the Reports -> Full Draw or via the Reports -> PDF Draw reports. These show both the race list (without race times at this stage) and feather draw diagrams.

Single Event Draw

Individual event draws can be examined, adjusted and re-drawn using the per-event screens available from the Entries -> Events screen. To the right of each event row are a series of icons leading to various operations for each event.

View Event Draw

Click the eye icon to view the draw for a single event. This shows the feather diagram for that event. Crew numbers, race numbers and race time will be shown where these have been assigned already.

Edit Event Draw

The pencil icon leads to the draw editing screen for a single event. This screen shows crews on the left side of the screen in yellow. Races appear as green boxes with lane circles on the left side and finishing position circles on the right side. Crews or previous finishing positions are linked to the lanes for future rounds using lines. Only one crew or previous finish position can be connected to an individual lane.

  • To unassign a link between crew/previous round and lane hover over the link line and click the red X that appears on the line.

  • To link an unassigned crew or unassigned finish position to a lane drag the appropriate circle to where it should be connected and once released the link will be formed and the draw diagram will adjust accordingly.

  • The Add Race button will add an additional race to the event draw and once added crews/previous rounds can be connected to link it into the draw.

  • Individual races can be deleted by right clicking on the race box and using the Delete Race option. This will break all existing links to that race.

  • Omnium status can be set on a race to signal that this is a placeholder for an omnium style skills event. Typically this would be done by adding an extra first round race for each crew, marking that race as an omnium, and then linking it as single crew per race going to the appropriate lane of the first round of the knockout part of the draw. Once added to the draw the omnium race can be added to the race timetable and will show on the reports as an omnium.

  • Rowed Bye - if crews are required to row byes in an event add extra first round races with a single crew assigned linking to the appropriate second round lane. Then mark the race as Rowed Bye from the right click menu of that race. The rowed bye can then be timetabled and will show on the draw reports/program as appropriate.

  • Fixed Race Time - some races are timetable for a fixed start time for instance to co-incide with sponsors or local dignitories attendance at the competition. Use the right click menu to toggle the fixed time flag. This fixed time flag informs the auto-scheduler that the race should not be moved from the time currently assigned to it.

  • If the layout becomes stuck/untidy the Redo Layout button will force an automatic layout of the screen. The need for this should be unusual and if required please consider reporting an issue for investigation and resolution.

Note that the draw should generally not be adjusted from this screen after it is made public and baselined for results recording. Use the features on the results system for overriding the start order and finishing arrangements. This maintains the link with the original draw.

Auto Draw Single Event

The crossing arrows icon allows a single event to be drawn/redrawn using the automated draw algorithms. This can be used if late breaking crew changes require a redraw but where the remainder of the draw/timetable should be kept intact. It can also be used to apply different auto-draw settings (lane count or draw methods) to specific races.

Tick the Confirm checkbox and then click the Draw Them button to perform the draw.

View Doubling Issues

The label tag icon displays a list of issues where the timetable leaves short gaps between between rounds and races. The report lists crews with problematic races highlighted for the crew and those it is doubled against. If no problems are found this report is empty.

View All Doubling

The landscape picture icon displays all doubling for crews within the specified event. The crews in the event are listed with the races for that crew on the following row. After that indented rows of either crew member or boat doubled entries are listed along with their races.

Draw Status

The Entries -> Dashboard screen contains the Draw Stats panel. That summarizes the draw status. In particular it shows the number of crews that are partially drawn at Entries -> Dashboard -> Draw Stats -> Partially Drawn and those that are undrawn at Entries -> Dashboard -> Draw Stats -> Undrawn

The full, un-timetabled, draw can be viewed via the Reports -> Full Draw screen. The top half of the screen shows a dummy running order and the bottom half shows the feather/spider diagrams for each event. In particular check that crew progressions between rounds are acceptable according to Organising Committee policies.
