Division Timing Procedure

Administration of the timing of each division is key to successful running of the competition. This procedure ensures that the control panel is correctly setup prior to timing and that the PDA timing records are properly recorded, collated, corrected and published.

It is important to follow the suggested workflow to ensure that no items are missed and that the results are published accurately.

The procedure is available on the competition console by selecting Tools -> HeadRace Timing/Results Cribsheet menu of the competition.

Ensure Meeting is open for results

The meeting will not appear on PDAs until it is marked as Draw Complete and Results Open in the meeting setup screen Tools -> Meeting Details , It is also important to ensure that Results Final and Meeting Archived are not set.

  • Draw Complete - ticked/flag

  • Results Open - ticked/flag

  • Results Final - unticked/minus

  • Meeting Archived - unticked/minus

This only needs doing at the start of the competition.

Ensure Division is open for results

Choose the current division from the Headrace Timing Dashboard page and check that it is marked as Results Open. Also ensure that Results Final is not set.

  • Results Open - ticked/flag

  • Results Final - unticked/minus

At this stage the division will be visible on the timing tablet PDAs and is ready for timing to begin.

It is safe to set all divisions open for results on the eve of the event to ensure that all division are visible on the meeting list even if there is an internet failure on the day.

Division Timing

The start and finish timing teams should follow the timing procedures set out in the :doc`<head-timing>` procedures. In particular ensure that the meeting list has been reloaded prior to the tablets leaving the timing control room.

Race Monitoring

The progress of the race can be tracked from the timing control room. Select the Timing -> Division -> By Reverse Startorder menu option to view the current state of play.

This report is particularly suitable because it shows lists the crews on course at the top of the screen. Any crews that have passed the finish line will be shown with their provisional race time.

Note that at present this report must be manually refreshed to update as the competition progresses. Automatic refresh is a roadmap item!

Timing Completed

When the racing has completed in the division all PDAs should be returned to timing control. At this stage ensure that the timing session has been properly closed down on each PDA.

The timing team may have noted a number of corrections required to the timing records on the PDA. This is the correct time to make these alterations. Follow the procedures for Correcting Errors in the :doc`head-timing` instructions.

Check that all timing records have been uploaded for the division by clicking on the competition meeting/division name in the left sidebar. This will display the timing records in the right sidebar. Take notice of the coloured box with a number inside of it just above the right sidebar. This should be showing a zero in a green box if all records have been successfully uploaded to the server.

If an amber (records currently being uploaded) or red (record upload failed) box is shown then this must be corrected before proceeding. Ensure that the PDA has an internet connection and then long click on the division name in the left sidebar. This will present a context menu where either the Upload Division Pending Entries or Upload Division button should be pressed to force a resend of data. If the box changes to green after this then the records have been correctly uploaded.

Ensure that all PDAs are put onto charge at this point to maximise battery lifetime throughout the day.

Initial Results Review

Once all PDAs have been checked then an initial consistency check should be made on the timing data. Use the Timing -> Division -> By Draw Order report and look for the following:

  • Crews with finish-only or DNF status in the time records. These should all be investigated. In particular finish-only implies that the start did not record a time or, more likely, one of start and finish recorded the wrong crew number.

  • Crews with very quick or slow times. Or even crews who have done better or worse that might be expected. This is very subjective but the worst cases are usually very obvious.

Timing Consistency Review

If two or more PDAs were used at each location the system will generate a spreadhseet that analyses the consistency of the records from each PDA. Any crew whose record differs from the other PDAs by over 0.5 seconds will be flagged up in red for investigation.

In this case the backup stopwatch/paper results should be consulted and it will likely results in one of the PDA records being declared as a blacklisted entry and hence ignored in the computation of the timing results.

Amending Timing Records/Results

If any records need correcting visit the Timing -> Operation -> Edit Timing Data page and find the appropriate crew record there.

Click on the More icon at the right of the column for the appropriate crew. This will show all of the recorded timing data for that crew. At this stage typical operations are:

  • blacklist individual timing record - set the blacklist flag for the individual timing record that should be excluded. The results for that crew will recalculate with the timing now excluded.

  • lock out an individual timing record from any further updates from the PDA and then update the Logged Time manually by editing that record. The results will recalculate with the updated time.

  • disqualify a crew - set the disqualification flag for the crew. This will exclude the crew from position calculations when listing results. Note that the crew time will also be hidden from the results too.

  • manually set a start or finish time for a crew. This may be necessary if no PDA recorded the time for the crew. It is best to also lock the appropriate record for further updates from automatic calculation.

  • apply a penalty to the crew - the race committee awards penalties so only do this under advice. The penatly (in seconds) will be added to the crews time.

  • time only - flag a crew for time only. This excludes a crew from position calculations but lists their time in the results reports.

Provisional Division Results Complete

At this stage the division results are provisionally complete and may be published with the approval of the chief timekeeper.

Typically the Timing -> Results -> With Winners (PDF) report would be printed and published.

Note that if the results for multiple divisions are to be combined then you should not handle masters handicaps until the results of all divisions have been checked.

Masters Handicaps

If Masters crews are raced using the British Rowing handicap system then the handicaps must be computed after all crews subject to the handicap have provisional results.

  • Produce a Timing -> Overall -> Fastest by Boat Class report (or the equivalent division report if divisions are not being combined). It is recommended that this is printed for future reference although less important now that standard timing data can be assigned automatically.

  • Visit the Timing -> Overall -> Edit Standard Times (Masters Only) page. Note there is an option for either doing this for all divisions or on a per-division basis. If your competition uses combined divisions results for setting standard times use the All Divisions version otherwise use the per-division version to use standard times based on a single division.

  • The system will provide suggested standard times based on the fastest overall or per-division. Accept these suggested times by clicking on the button containing the suggested time for each crew. This will assign the time and calculate handicaps based on the time and the masters age category for the crew. Times/handicaps can be overridden if necessary but this will be very unusual.

Prizewinners

The rules for which crews get prizes are quite complex and are not encoded with the console. Consult your own event rules for this.

  • By default the fastest crew in each category has a * beside their entry. This can be replaced by notes (or a . if you find * confusing).

  • Visit the Timing -> Overall -> Edit Prizes (Masters Only) page.

  • The Pos/Prize column can be edited to record the prizes that each crew won. Typical values are: * Fastest 4+ * Won IM3.4x- * Fastest Crew * Won W.Mas.CDE.1x

Last Check

Perform a final check of the results by producing the with winners or with winners detail reports. The chief timekeeper should sign off on these before publishing.

By default the report will show that the results are Provisional. This can be cleared by visiting the meeting and division setup pages and unticking the Results Open flag and marking them as Results Complete.
