Entries screen for a new meeting.

The entries screen is separated into 3 sections:

  • Summary - showing an overall summary of the entries for the meeting.

  • Entries - showing a filterable list of entries received.

  • Entry Summary - showing a breakdown of entries in various categories.

Summary

The summary shows key information for the competition split up into 3 subsections:

Submission statistics

A numerical summary of the entries received.

  • Total number of entries - the total number of entries against the competition meeting. This includes every entry irregardless of status.

  • Live entries - the number of entries that can be considered to be includable in the racing. In particular it does not include withdrawn, rejected, or scratched entries.

  • Withdrawn/Rejected entries - the total number of entries that have not been included in the draw either by withdrawal prior to entries closing or which have been rejected by the competition organisers for any reason.

Management statistics

A numerical summary showing how processing of entries by the competition is proceeding. Note that this relies on the competition following best practice and operating BROE in the generally accepted way. It is certainly possible to ignore the entries state of the competition in BROE although this may lead to confusion in the entering clubs and also may cause problems for the submission of results.

  • Total number of accepted entries - the number of entries that the competition has determined it can accept into the draw/timetable.

  • Total number of unaccepted, live entries - the number of entries that are still to be processed by the competition. Each entry should either be accepted or rejected. Be aware that this only displays live entries those that are withdrawn or scratched may disappear from this number at any time.

  • Total number of rejected entries - the number of entries that have been rejected by the competition. Once rejected the entry is no longer classed as being required to pay the entry fee and hence becomes eligible for a refund.

  • Total number of scratched entries - the number of entries that have scratched since the competition formally closed for entries. Prior to close of entries any crews that are no longer able to race are marked as withdrawn.

    Note that the close of entries on BROE does not necessarily co-incide with the official published closing date as published on the poster. BROE requires an explicit action on behalf of the lead administrator to close entries and hence baseline crew lineups for substitution purposes. Many competitions defer closing entries on BROE until they commit to the draw. This has to be done carefully to ensure that the state of entries is not disclosed outside of the core organising committee prior to closing.

Payment statistics

Tracking monies owed and refunds due. Each entry shows both the number of crews and the total amount owed for those crews. Clicking on the numbers will display the relevant crews in the Entries section of the screen.

  • Unpaid entries - monies owed for all unpaid, live entries.

  • Entries requiring a refund - rejected or withdrawn entries that have been paid for and hence require a refund.

    Note scratched crews are not included here because they are deemed to have been accepted into the draw and hence are not refundable by default. A competition may choose to refund scratched, or indeed any other, entries but this is not common practice and would typically only be done in exceptional circumstances.

  • Paid entries - entries that have been paid exlcuding those that have been refunded. This will include those requiring a refund above so does not necessarily cover the total anticipated income from the competition.

  • Refunded entries - entries that have been refunded in whole or in part.

Entries

Entries Section

Entries Section.

This section displays a filtered list of entries for the competition. The filters can be arbitrarily adjusted by the user and many links within the screen can be used to display pre-canned filters. The row above the filter displays a summary of the currently selected crews.

One crew is listed in each row of the display and clicking on that row will cause the full View Crew display page to appear.

Each entry within the list can be selected by checking the tickbox in the left most column. This selection can be inverted by clicking on the tickbox in the title row. Once selected a series of options are available at the bottom of the list. The exact options depend on the exact entries selected and only options appropriate for the selection are available for clicking.

For the most part the columns in the per-crew rows are self explanatory and are as follows:

ID

The crew identifier that is used by BROE to reference the specific crew. This identifier never changes once allocated to a crew and is unique across all competitions/crews within BROE.

Club

The primary, entering, club for the crew. This club is the one responsible for administering the specific entry. See the Comp. Code column for details of composite crews.

Category

The top-level crew category as defined within the Rules of Racing. This will be one of: Senior, Masters, Junior, Para-Rowing, or Adaptive.

Name

The crew name used within BROE. This is automatically generated by BROE based on the entering club code and the surname of the stroke of the boat. It can be edited on the View Crew screen. Some competitions use this to refer to the crew on the draw whereas others use longer crew names etc. The actual crew numbers and names used can be uploaded to BROE via the Custom crew information screen.

Letter

A crew priority letter as assigned by the entering club. The exact meaning of this field does not appear to be documented within BROE but it seems that the intention is that letter A is highest priority and Z is lowest priority.

Comp. Code

For composite crews this field displays the codes of those clubs included within the composite.

Event

The event entered by the crew. Note that internally within BROE each event is represented by a code number and the label displayed here is the one assigned to an event with that code number. It is possible to have two events with the same label but the events are still distinct as far as BROE is concerned.

CRI

The Crew Ranking Index value for the crew concerned. This is as defined in the Personal Ranking Reference Book (only accessible behind the British Rowing paywall). Briefly this is the aggregate points for each rower within the crew in the eight most significant races they have taken part in.

CRI Max

Similar to the CRI value but in the situation where a competitor does not have eight races to contribute to the CRI the CRI Max value is scaled by the average of that competitor to simulate what an 8 race CRI would be.

Division

The division of the competition that this crew is entered into.

Fee

The entry fee payable for the crew.

Pay Status

The Payment Status of the crew.

Crew Status

The Crew Status of the crew. Briefly this states whether the entry has been fully completed by the entering club.

Entry Status

The Entry Status of the crew. Briefly this shows whether the entry is live within the competition and whether the competition has chosen to accept it into the draw/timetable.

Filter Operation

Entries Filters.

The entries filter gives powerful control of what is displayed in the entries section. Entries can be filtered in any of four classes with each filter restricting the displayed list to only entries that match things according to that filter. If multiple filters are applied then the final output will only show the entries that satisfy every filter.

Within a filter class the filter can either match All items or it can be restricted to those matching any one of an arbitrary set of individual items.

The filter can be reset to show all entries using either the Reset filter link at the top left of the filter selection row or alternatively individual filter classes can be reset by checking the All entry at the top of the selection.

The four filter topics are as follows:

Filter Clubs

Each of the clubs with crews entered into the competition can be selected. Once selected this will only show crews entered by that club. If multiple clubs are selected crews entered by any of those clubs will be shown. Of course entries from those clubs will only be shown if they also match the criteria set in the other filters.

Filter Events

Any of the events provided for the competition can be used to filter the entries list. Again if multiple entries are selected an entry is displayed if it is assigned to any of the selected events.

Filter Divisions

Individual or multiple divisions can be selected using this filter class.

Filter Status

The status filter class actually provides 3 distinct filters and each must be satisfied for entries to be shown in the filtered output. If no constraint is checked in a filter sub-class then all entries are passed through.

  • Payment Status - filters according to whether the entry is Paid, Unpaid or Requiring refund.

  • Crew Status - filters according to whether the entry is complete or whether it is some information missing.

  • Entry Status - filters according to the the six entry states. This is a very common filter class. Submitted is useful to see which entries have not been processed by the entries team yet. Submitted/Accepted shows those that are live in the competition (although you may also want Scratched to show entries that were included in the draw). Scratched alone can be useful to quickly find the crews that are no longer racing.

Action Buttons

When one or more entries are selected in the entries list the actions buttons become available for performing operations on the events listed. The actual operations available depends on the actual selected entries - only those actions that apply to all the selected entries will be available.

Refund selected entries

Perform a full or partial refund of entries that were paid online via BROE.

Accept entries

Mark the entries as being accepted into the competition. This changes the Entry status of the crew and also notifies club entries administrators of the acceptance.

Un-reject entries

Undo a previous Reject entries operation.

Reject entries

Mark the entries as being rejected by the competition. This changes the Entry status of the crew and also notifies the club entries administrators of the rejection. During the rejection operation the administrator is prompted for a reason for rejection.

Un-withdraw entries

Undo a previous Withdraw entries operation.

Withdraw entries

Mark the entries as being withdrawn by the entering club. This changes the Entry status of the crew and also notifies the club entries administrators of the withdrawal. Prior to close of entries this operation is available to club administrators but after close of entries BROE records the clubs action as a scratching.

Un-scratch entries

Undo a previous Scratch entries operation. Note this button only appears after entries have closed.

Scratch entries

Mark the entries as being scratched by the entering club. This changes the Entry status of the crew and also notifies the club entries administrators of the scratching. This operation is not available to either competition or club administrators. Note this button only appears after entries have closed.

Mark as paid

Mark the entries as having been paid by a mechanism outside of the BROE online payment feature. This is purely a housekeeping function that means that the payment is recorded by BROE - British Rowing has no involvement in the actual transfer of money!

Mark as unpaid

Undo a previous Mark as paid operation. This operation is only available to entries that were marked as being paid manually.

Swap crew members

Allows swapping of members from two selecteddd crews.

Assign to division

Assign the selected crews to a specific division.

Assign to event

Assign the selected crews to a specific event.

Assign to division with error

Assign to division with error.

Note that when assigning crews to divisions or events BROE will check the proposed changes against the Rules of Racing and against the competition allowed options. If any of the crews will cause a rule violation BROE will display a warning that the rule is being broken. The administrator has the option to ignore the warning or to force the change. A forced change should only by made with the approval of the Race Committee Chair to ensure that the specific change is acceptable.

The Entries Summaries section shows a summary of the live entries broken down by Club, Event and Division. Clicking on an entry in the list updates the Entries section filter to only show the relevant live entries. This is useful when determining how to process entries or to quickly find entries without manually configuring the search filters.

By Club

Clubs are listed in alphabetic order. Clicking on the name filters the Entries screen to show the submitted and accepted entries from that club.

By Event

Events are listed in order of number of entries. Check the events at the bottom of the list to find any that do not have suffient entries for a viable draw. Note that you may also need to consider whether the event has a suitable mix of clubs entered if the competition policy is that events must have multiple clubs entered.

Clicking on the name filters the Entries screen to show the submitted and accepted entries for that event.

By Division

Divisions are listed in alphabetic order. Click the name to filter the Entries screen to show the submitted and accepted entries for that division.
